Have Applicants Amend an Application Section
Once a Permit Manager moves a permit application to Under Review and the full review process begins, reviewers may need to clarify submitted information, or request additional information that wasn't supplied. Most often, this done through Comments in Eproval, which don't affect the submitted information. However, there may be times when you need the applicant to update that submitted information, such as when major changes are needed, or when your process dictates it.
For these instances, Eproval has the Amendment Process. This lets applicants go back into a specific section of an application and freely modify the information they originally entered.
Steps
Follow these steps to start the amendment process for a specific application section. The applicant will only be able to modify the fields in that section - no other sections will be affected.
Open the application and scroll down to the section you want the applicant to amend.
Click Change Status.
Select More Info Needed from the list of Statuses.
If your public agency has the Amendment Process turned on, you'll see a Require Applicant to amend this step checkbox. Select this.
In the Post Comment section, add a comment for the applicant that explains the information you want amended. This is optional, but it helps provide the applicant with context. You can also upload a file if applicable.
Select Check this box to notify the applicant of this status change. This ensures the applicant gets an email notification letting them know they need to amend a section. Even if you don't select this, they will see a notification on their dashboard when they login.
If you want to notify the permit manager (administrator) and other reviewers responsible for this section, select Check this box to notify the administrators and assigned reviewers of this status change. However, we do recommend being intentional about the internal stakeholders you notify to limit unnecessary emails.
Click Change Status.
Once the applicant amends the information and resubmits the section, permit managers and reviewers responsible for that section get an email notification letting them know of the resubmitted section.
