Add an Internal Note

Not all comments are intended to be seen by the applicant. These could range from sensitive security information to mundane internal process notes. Like other comments, these can relate to both specific sections of the application (as determined by your setup), or to the application overall. The difference is that none of these can be viewed by the applicant.

The most common notes of this nature are those added to the overall application. We call these “Below the Red Line” comments, because there is literally a red line separating them from the rest of the application.

Steps

  1. Access the application and scroll down to the bottom, with the red line separator and the Internal Notes not viewable by applicant section.

  2. The existing Internal Notes comments on the application are just below the line. All internal stakeholders can view these notes.

  3. Below the existing notes, the comment area is already open.

  4. In the Post Comments box, enter your comment text.

  5. If you have documents you wish to upload, you can drag and drop them into the File Upload box. Or click in the box to search for them on your device.

  6. Select the checkboxes of the people you want to notify about the comment. All internal stakeholders will be able to see it on the application, but the roles you select will get a notification email.

    Note:
    We recommend limiting the internal roles you notify to reduce the number of email notifications people receive.

  7. To save your comment for future reporting and quick review of past permit application discussions, select Check this box as a debriefing note.

  8. Click Submit Comment.
